Mail Processing Procedures

In order for United I.S.D. to take advantage of postal savings the following procedures must be followed:

All out going mail must be sorted by zip code. Pieces with the same zip code must be secured with rubber bands for easy identification. The department code must be placed on the lower left-hand corner of the envelope or on the first item in a group sorted by zip code. (See example ''A'') All addresses and information on envelopes must be typed or computer generated labels. The label must be placed in the lower half of the envelope (see example ''B''). All mail must have a return address, because if it is undeliverable the post office will be not be able to return it to you; therefore you will not be aware that the envelope was not delivered.

The Large Mail out form must be used when submitting large mailings to the mailroom.

Any brochures or letters that are sent without an envelope must not be stapled. Staples cause the machine to jam and the letters damaged. See example ''Folded Material Diagram''

Large mail outs must arrive at the tax office before 10:00 A.M. in order to be processed and mailed on a first come first serve basis. If you have a mail-out that is time sensitive, please make prior arrangements with mail room supervisor. Any mail delivered after 10:00 A.M. will be processed the following day on a first come first serve basis. Mail that does not comply with the above specifications will be returned in order for it to be corrected. Keep in mind if your mail out is time sensitive, errors could cause critical delays. Thank you for your cooperation.
